Signing documents online

Review and sign engagement letters, proposals and contracts from your phone or computer.


What you can sign

  • An engagement letter, from a signing link your firm emails you.
  • A proposal, from Proposals in your portal (you approve it).
  • A contract, from Contracts in your portal.

Sign an engagement letter

  • Open the link. The page is titled 'Review and accept your engagement letter' and shows the firm, the client, the financial year and any professional fee.
  • Read the whole letter.
  • Check 'Your full name'.
  • Optional: click '+ Add a signature (optional)', then choose 'Draw' (use your finger or mouse; 'Clear' starts again) or 'Type'.
  • Tick the box confirming you have read and accept the letter. If the firm needs it, there is a second box for data-protection consent.
  • Click 'Accept'.

What happens next

You see 'Accepted - thank you', and a copy of the accepted letter, including an audit certificate page, is emailed to you. The date and time, your IP address and the device you used are recorded so the signature can be verified. If you open the link again after signing, you see the same confirmation.

If you do not agree

Click 'Decline this letter', type a short reason (for example that the fee needs changing) and click 'Submit decline'. Your firm is told and may send a revised letter.

When more than one person must sign

Some letters need several signers in order. You will see who has signed and who is pending. If it is not your turn yet, the page says 'Waiting on [name] to sign first'. Come back later or wait for a reminder. When it is your turn, review the letter and click 'Sign'.

Approve a proposal

  • Open Proposals, click 'View' to read it, then click 'Approve'.
  • Draw your signature, add an optional note, then click 'Sign & Approve'.
  • If the proposal includes a deposit, the window tells you the amount before you sign.

Sign a contract

  • Open Contracts and click 'Review & sign' next to the contract.
  • Enter your full name and email, draw your signature, and tick the consent box.
  • Click 'Sign contract'. Its status changes to signed.

If something is wrong

  • The link will not open or says it is not available: ask your firm to send a new signing link.
  • You see 'Please enter your full name', 'Please draw your signature' or 'Please tick' messages: complete the missing item and try again.
  • Drawing is awkward on your phone: on an engagement letter, switch to 'Type' to use your typed name as the signature.
  • You signed by mistake: contact your firm straight away.
