Importing Clients from a CSV

Bring a client list from a spreadsheet into Oris Work, with a duplicate check and a list of skipped rows.


What it does

The importer reads a CSV or Excel (.xlsx) client list and creates a client record and a contact for each row. It understands CA-style lists (Name, Group, GST No., Contact No, Email ID) and plain name and email lists. GSTIN, PAN, entity type and contact details are picked up automatically when the columns exist. PAN is stored encrypted. Any column it does not recognise is ignored, and passwords in a sheet are never read.

Prepare the file

  • One header row, then one client per row.
  • It needs at least a Name column (or First name and Last name) or a GST No. column. Without either, the import stops with 'Could not find a Name or GST No. column'.
  • Recognised headers include Name, Client name, Party name, Group or Entity type (becomes the entity type), GST No. or GSTIN, PAN, Contact No, Mobile or Phone, Email, Job title or Designation, City, and a second Name column or Business name / Trade name.
  • Limits: 5 MB per file and 10,000 rows per import. Split bigger lists.

Steps

  • Open CRM → Contacts.
  • Click 'Import'. The 'Import clients' window opens.
  • Click the upload area and choose your .csv or .xlsx file. A preview of the first rows and the row count appear.
  • Leave 'Import duplicates anyway' unticked unless you really want copies (see below).
  • Click 'Import clients'. Wait for the result summary.

The duplicate guard

Every row is checked against your whole workspace and against earlier rows of the same file. A row is treated as a duplicate when it matches an existing record on PAN, GSTIN, name plus email, name plus phone, or client name. By default duplicate rows are skipped and listed, never merged and never silently created. Tick 'Import duplicates anyway' to create them as new records; those rows are counted as 'imported anyway' so you can review them later with Find duplicates.

Reading the results

  • The summary reads like 'Imported 120 clients. 8 skipped as duplicates. 2 invalid.' It also reports rows with an unverified GSTIN or PAN (imported, but the number did not pass the format check).
  • 'Skipped rows' lists each skipped or invalid row with its row number, name, the reason (for example 'Already exists (…)') and the existing record it matched. The list shows up to 100 rows.
  • Click 'Download skipped list (CSV)' to get every skipped row with the reason and the matching record, so you can fix and re-import them.
  • An empty row (no name, GSTIN or PAN) is reported as invalid.

Common problems

  • 'File is too large' or 'Up to 10,000 rows per import': split the file.
  • '0 imported': open the Skipped rows list. Usually every row already exists in your workspace.
  • Long phone cells: phone numbers are cut to 30 characters on the contact; the full original is kept in the record's details.
  • Wrong rows imported: use CRM → Find duplicates to review and merge.
