Notices and the Notice Reply Service

Record income-tax, GST, TDS and ROC notices, track reply and hearing deadlines, and open reply work.


What the notice tracker does

Notices & assessments is a register of statutory notices your clients receive. For each notice it keeps the reply deadline and hearing date, an owner, the amount in dispute and the documents, and it reminds the owner before each deadline. Open it from Practice Tools → Notices.

Record a notice

  • Click 'Record a notice'.
  • Pick the Client and the Notice type (grouped as Income tax, GST, TDS, Corporate and Other).
  • Fill in Section / form, Authority, Notice / DIN reference and Assessment year / period.
  • Enter Received on, Reply due by and Hearing date, plus the Amount in dispute.
  • Set the Status and the Owner. The owner defaults to you.
  • Add Internal notes (never shown to the client) and save.
  • After saving, reopen the notice to attach the notice PDF and your reply under 'Notice documents'.

Statuses and the list

A notice moves through Received, In progress, Replied, Hearing and Closed. The cards at the top show Open notices, Reply overdue and Reply due in 7 days. The list defaults to 'Open (not closed)'; change the status filter or search by client, section or reference. A notice is overdue when its reply date has passed and it is not yet Replied or Closed. You can also see a client's notices in the Notices tab on the client page.

Reminders

The owner is reminded 7, 3 and 1 days before the reply deadline and before the hearing date. If a notice has no owner, the organisation's admins are reminded instead. Once a notice is marked Replied it no longer sends reply-deadline reminders, but hearing reminders continue until it is Closed.

The Notice Reply service

On a notice, click 'Start reply work' to open a response engagement. Oris Work uses a service named Notice Reply if your organisation has one (it is part of the CA pack), otherwise a service named General Engagement. The engagement is titled from the notice section, period and client, takes the owner as preparer, and uses the notice's reply date as its due date. Typical Notice Reply tasks run from logging the notice and confirming the deadline, through collecting records, drafting and partner review, to filing the reply and sharing the outcome. After it exists, the button changes to 'Engagement' and links to it. A notice can have only one response engagement, and later changes to the reply date update the open engagement's due date.

Show a notice to the client

In the notice form, tick 'Show this notice's status to the client in their portal (read-only)'. It is off by default. Internal notes are never shown.

Common problems

  • 'No Notice Reply or General Engagement service exists': enable Practice and add one of those services under Practice Tools → Services, then try again.
  • 'A response engagement already exists for this notice': use the Engagement button on the row.
  • No reminders arrive: check the notice has a Reply due by or Hearing date, has an owner, and is not Closed.
