Client Groups

Bundle related entities such as a family or group companies to see combined dues and share one portal login.


What a client group is

A client group ties together separate client records that belong together: a family, a promoter group, or a set of group companies. Each entity stays its own client with its own invoices. The group adds a combined view and, if you choose, lets one client-portal login switch between its entities. This is different from the free-text 'Customer group' label on the New Client form, which is only a tag.

Who can use it

Staff whose role is allowed to create, edit and delete client groups (a separate permission from clients). An admin can grant it under 'Roles & Permissions'.

Create a group and add entities

  • Open a client and look for the 'Group' card on its Overview tab, then click 'Manage groups'. You can also open /client-groups directly.
  • Click 'New group', enter a Name (for example 'Example Family'), pick a Type (Family, Promoter group or Group companies) and click 'Create group'.
  • Click the group to open it. In the Entities section, search for a client under 'Add an entity…' and click 'Add'.
  • A client can belong to more than one group.

What you see on a group

  • Combined outstanding, combined overdue, open invoices and open engagements across all entities.
  • A table per entity with its outstanding, overdue, open invoices and engagements.
  • A 'Combined statement' with a line for every invoice, payment and credit, and a closing balance. Entities billed in another currency are left out and listed.

One portal login for several entities

In 'Portal access across entities', each contact always sees their own entity in the client portal. Tick extra entities for a contact and click 'Save' to let that same login switch to them and see the group billing view. Only firm staff can grant this; clients cannot give themselves access.

Removing things

  • Remove (on an entity row) takes it out of the group. The client is not deleted, and any portal access that depended on the membership is withdrawn.
  • Delete group removes only the grouping. The entities stay as they are.
